Product Update - September 2024

September saw over 90 updates with work on including Guest visitors in SWOOP for SharePoint, creating our "Official Keywords" functionality in SWOOP for Viva Engage, and making some big improvements to Dr SWOOP so we can give summaries of Viva Engage threads and insights on every report at the click of an icon.

We've also been working hard to make sure the underlying technology behind our platform is up to date and secure.

Guests in SharePoint

In this update we've set up SWOOP for SharePoint so you can actively include or exclude guest visitors (those with a different email from your organisation).  For those organisations that might have more than one M365 tenant or have numbers of staff members from other organisations this will allow you to track all the visits.  You can also look at differences between how guests use your intranet by using a new attribute we have in our audience search.

Official Keywords

We have enabled SWOOP for Viva Engage administrators to add keywords or phrases to the system so they can be monitored for activity.  If you want to track a phrase from an internal campaign you can add this to the Official Keywords report and see how it stacks up against other hot topics in your Viva Engage network.

Report Insights by Dr SWOOP

Continuing our AI development with Dr SWOOP we've set up a function for those customers who want to use our Azure AI based chatbot.  We have incorporated an icon on all our reports that will send the details to Dr SWOOP who will give her insights on your metrics and how you might improve them.  This is all done without the need to type long prompts into a box but is done on the click of an icon.

Dr SWOOP Insights on reports! All For those using the Microsoft Azure AI version of Dr SWOOP we have set an new AI icon on reports to get Dr SWOOP to give a summary of the report and some deeper insights about the data.  This does pass the data from the report to Dr SWOOP to examine and makes it easier for users to understand more about there data Sep-24
Improvements to the Things to Fix reports in SWOOP for SharePoint SharePoint We've updated the Things to Fix report to show the total number of pages or news items that have one or more quality issues (spelling error, broken link, ageing content or missing editor).  The number of issues shown against each item in the list reflects the number of quality issues on the page.  We've also speeded up the calculations  Sep-24
Official Keywords marked in Hot Topics report in SWOOP for Viva Engage Viva Engage With the addition of official keywords in SWOOP for Viva Engage, we've added in an official "tick" icon on any of the Hot Topics that are also an official keyword.  This will make it easy to see if your official keywords are making it to the hot topics list Sep-24
Name of person to last modify a content item added to export in SWOOP for SharePoint SharePoint If names have been selected to be included in exports we will show the name of the person who last modified a content item in the export Sep-24
Correction to Exporting threads in SWOOP for Viva Engage Viva Engage After a change by Microsoft we have now updated our thread export in the admin area to work Sep-24
Fix to location map in SWOOP for SharePoint SharePoint We noticed that sometimes the legend in the Location map did not accurately reflect the totals for locations so this has been corrected Sep-24
Guests included in Top Editors report in SWOOP for SharePoint SharePoint We've included any guests that have made edits in the top editors report Sep-24
Guest visitors added to Location report in SWOOP for SharePoint SharePoint We are now incorporating guest users in to the visitor counts in the Location report in SWOOP for SharePoint.  Using the Guest or Member segments in the audience dashboard allows these to be seen separately. Sep-24
Guest visitors added to Browser Activity Report in SWOOP for SharePoint SharePoint We've added guest visitors to the total of visits shown by browser in the browser activity report on the intranet, site and content level dashboards.  You can see the guest or member activity separately by viewing the relevant audience segment in the audience dashboard. Guest visitors now added to Device report in SWOOP for SharePoint SharePoint We've incorporated the visits from guest users into the Device report in SWOOP for SharePoint at the Intranet, site and content dashboard levels.  You can also see the usage of either guests or members by using the audience dashboard Sep-24
Guest activity included in Enter and Exit pages report in SWOOP for SharePoint SharePoint The report now includes the activities of guests as well as members showing the number of visitors that have started or ended their intranet visit on specific pages. Sep-24
Guest visitors added to Activity By Time report in SWOOP for SharePoint SharePoint We've included the visits by guests in the activity by time report at the intranet, site and content level.  You can also find the total or either member or guest visitors in the audience dashboard by using the guest or member segments Sep-24
Guest visitors now in Most Active Audience Report in SWOOP for SharePoint SharePoint We now include guest users in the Most Active Audience Report.  Where guest users don't have the selected attribute, they will show in the No Segment Selected row.  You can also choose members or guests from the User SharePoint Segment in the drop down on the report Sep-24
Guests included in Site report in SWOOP for SharePoint SharePoint We've added guest visitors to the total of visitors and visits shown in the sites report.  These can be seen as different audience segments using the Guest or Member segment in the Audience dashboards Sep-24
Guests now in Top files in SWOOP for SharePoint SharePoint We have incorporated guest users in the totals shown in the Tope files.  This can be filtered using the Member and Guest audience segments Sep-24
Guest visitors included in Top Pages and News reports in SWOOP for SharePoint SharePoint We've incorporated guest visitors into the totals shown for pages and news items in SWOOP for SharePoint across the Intranet, Site or Content level dashboards.  You can also look at the different numbers of visits by members or guests using the audience segments for these groups Sep-24
Guests now incoporated to Activity Over Time report in SWOOP for SharePoint SharePoint We've included any guest visitors to the activity over time report in the total show when on the Intranet or Content level dashboard. Sep-24
Adding Guests and Members as Audience Segments in SWOOP for SharePoint SharePoint We've added an automatic segment in the audiences for SWOOP for SharePoint to differentiate between visitors that are members of the organisation and those that are guest accounts.  This will be used for reporting on guests in the system Sep-24
Toggle to include or exclude guest users in SWOOP for SharePoint SharePoint We have added the ability for you to choose to include or exclude guest (or member) users of your SharePoint Intranet in the statistics.  There is a toggle in the admin area under the application tab to choose which you want to show, guests,  ,members or members and guests.  The default is members only Sep-24
Official keywords with no activity now shown inthe Official Keywords report. SharePoint We've added any official keywords to the report even if they have no activity to make it clear what has happened across all the nominated keywords. Sep-24
