Keyword Monitoring in SWOOP Analytics for Viva Engage allows administrators to track specific keywords across posts and replies in near real-time. This feature is designed to help internal communications, compliance, and community managers stay informed about sensitive or business-critical conversations as they unfold.

Key Capabilities

  • Custom Keyword Selection: Admins can define keywords to monitor, such as “protest”, “diversity”, or “incident”.
  • Real-Time Alerts: When a keyword is detected, SWOOP sends an email alert with a direct link to the post or reply.
  • Monitoring Frequency: The system checks for new content approximately every 30 minutes.
  • Reply Tracking: The system monitors both new posts and replies, including replies to threads where the keyword was previously mentioned.
  • Exclusion Options: Admins can choose to exclude keywords from Official Keywords reporting while still monitoring them for alerts.

Setting Up Keyword Monitoring

  1. Go to the Admin Panel in SWOOP for Viva Engage.
  2. Navigate to the Official Keyword section.
  3. Add a keyword and choose:
    • Whether it should appear in reports.
    • Whether it should be actively monitored.
  4. Enter an email address to receive alerts.
  5. Apply changes. Monitoring begins immediately.

Alert Emails

Each alert email includes:
  • The keyword detected.
  • Timestamp of detection (UTC).
  • A direct link to the post or reply in Viva Engage

Use Cases

  • Compliance Monitoring: Detect and respond to inappropriate or sensitive comments quickly.
  • Leadership Awareness: Track sentiment around business-critical initiatives.
  • Community Health: Identify threads that are accelerating in engagement or showing signs of toxicity.
  • Campaign Analysis: Compare sentiment across different internal campaigns or topics.

Limitations

  • Private group content may not be fully accessible depending on permissions.
  • False positives may occur if keywords are used in benign contexts.
  • Current alerts are based on exact keyword matches; AI filtering is in development.
