Accessing and Navigating SWOOP for SharePoint
This support article explains how to access SWOOP Analytics for SharePoint, navigate dashboards and reports, save favourites, export data, and request support.
Accessing SWOOP Analytics
To access SWOOP Analytics for your SharePoint intranet:
- You have a dedicated SWOOP URL (e.g. swoop.swoopanalytics.com)*
- Open your browser and paste in your SWOOP URL.
- Bookmark or favourite this URL in your browser so you can easily return to it in the future.
*If you don't know your SWOOP URL, please reach out to your region Customer Success Manager.
Understanding the SWOOP Interface
When you first log in, you will land in a dashboard. Dashboards help you analyse usage and performance across different areas of your SharePoint intranet.
To help you in navigating across SWOOP Analytics, remember 1-2-3:
- Dashboard
- Tab
- Date range (where applicable)
1. Select the Right Dashboard
Use the dashboard selector to choose the area you want to analyse. Dashboards are often organised by:
- Intranet = your whole intranet (all the sites that have been brought into SWOOP)
- Sites = specific site(s) you want to drill down to.
- Content = specific page(s), news item(s), file(s) you want to drill down to.
- Audiences = specific audience(s) you want to analyse for their activity across your intranet.
Make sure you are in the correct dashboard before exploring reports.
2. Select the Right Tab
Within each dashboard, you will see multiple tabs. Each tab shows a different set of reports or metrics.
Tabs allow you to focus on specific questions, such as:
- Essential = date range locked to last 30-days - current snapshot of usage
- Health = date range locked to last 30-days - see the health of your content and what you need to fix
- Behaviour = open date range - how are people using your content
- Audience = open date range - which people are using your content
- Sites = open date range - what site the content lives on with high level usage and health metrics
- Content = open date range - all pages, news, and files with high level usage and health metrics
Always double-check the selected tab to ensure you are looking at the right data.
3. Change the Date Range (if available)
Some tabs allow you to adjust the date range:
- Use the date picker to select the time period you want to analyse
- This is useful for comparing trends over time or reviewing recent performance
Favouriting Sites, Content, and Audiences
You can save frequently used views so they are easy to access later.
How to Add a Favourite
- Select the grey star icon
- Give the favourite a name
- Select Add
Once saved, the favourite will always appear under the dashboard you were in when it was created.
Helpful Tips for Favourites
- Group searches: You can combine multiple sites, content types, or audiences to see aggregated results in a single view
- Global vs personal favourites:
- If the Global toggle is not selected (or not available), the favourite will only appear on your dashboards
- Other users will not see it unless it is saved globally
Exporting Reports and Using Extra Features
Reports in SWOOP come with additional features that help you dig deeper into the data.
From within a report, you can:
- Get more information (click on (?) in top right of every report)
- View a description of the report
- Access related support articles to better understand the metrics
- Explore export and compare options (click on three dots in top right of every report)
- Export report data for use in presentations or further analysis
- Use the compare feature to analyse differences between sites, content, or time periods
- Get an AI summary (click on AI icon on top right of every report)
- Use Dr SWOOP (AI) to generate a summary of the report and its key insights
- Ideal for quick interpretation or sharing highlights with stakeholders
- If you don't have Dr.SWOOP, please reach out to your region Customer Success Manager about turning it on.

- Select Help from within the SWOOP platform
- Browse available support articles to learn more about reports and features
Submitting a Support Ticket
To request support:
- Select Help (in the bottom left of the dashboard - under your name)
- Choose Request Support
- Follow the simple steps in the support portal to submit your request
