AI Readiness (SWOOP for SharePoint)
The AI Readiness report helps you understand how ready your SharePoint intranet or site is to be used and trusted by AI tools (for example, Copilot, Microsoft 365 Chat, or other AI assistants that rely on your content).
It gives you:
-
A single AI Readiness score
-
A clear health status (e.g. Ready!, Good, Needs attention, Not Ready)
-
Insight into the factors behind the score so you know what to improve
What is the AI Readiness score?
The AI Readiness score is a number from 0 to 100 that summarises how “AI‑ready” your intranet or selected sites are.
Scores are grouped into health levels:
-
81–100: Ready!
Your content is in very good shape for AI consumption. -
61–80: Good
Your content is generally solid, with room for optimisation. -
41–60: Needs attention
Some important issues are holding back AI effectiveness. -
0–40: Not Ready
Significant improvements are needed before AI can reliably use this content.
On the report, this appears as a health indicator ring with colour:
-
Green – Ready!
-
Blue – Good
-
Yellow – Needs attention
-
Red – Not Ready
This lets you quickly see whether your intranet or site is in good shape, or whether it needs work before you can rely on AI to answer questions accurately.
How the AI Readiness score is calculated
The score combines three core weighted dimensions:
-
Content Readiness
-
Engagement Readiness
-
Search Effectiveness
It is based on assessing all of the Content and News pages. Files are excluded.
Content Readiness (60%)
Content Readiness measures how well your content is structured and written for AI and humans to understand.
It is calculated as the average of:
-
Quality
-
Experience
In practice, higher Content Readiness means:
-
Pages are clearly titled and well structured
-
Content is up to date and not cluttered
-
Readers can quickly understand what a page is about
Improving your content quality and user experience will directly increase the Content Readiness score.
Engagement Readiness (30%)
Engagement Readiness looks at whether your content is actually being used by your audience.
It's calculated by comparing the number of visitors to the intranet or site content as a proportion of everyone in an organisation.
-
Visitors = Number of people who visited the intranet or site
-
Everyone = Total number of people in scope (e.g. all employees in the tenant or target audience)
Higher Engagement Readiness means:
-
A large proportion of your audience is visiting and using the content
-
AI will have more usage signals to infer what is important and relevant
Search Effectiveness (10%)
Search Effectiveness measures how well search is working for your users – an important signal for AI quality, because AI often relies on the same content and indexing.
We calculate search effectiveness by looking at the proportion of failed searches against searches made.
We consider a search as failed when:
-
the user leaves the site immediately after searching,
-
or the search term does not return results.
In other words, people searched for something and then left without clicking anything useful. A high number of failed searches means people are not finding what they need, which also makes it harder for AI to surface the right answers.
How to read the report
The AI Readiness report is available in these modes:
-
Intranet > Health tab
Shows AI Readiness scores for all content within the intranet scope, for content created before the end of the reporting period. -
Sites > Health tab
Shows AI Readiness scores for all content within the selected sites, again for content created before the end of the reporting period.
Use this to:
-
Assess the readiness of your content across your intranet or site for use by AI tools
-
Compare AI Readiness at intranet level versus site level
-
Spot sites that are dragging down overall AI readiness
-
Track whether changes you make (content clean‑ups, navigation improvements, etc.) improve the score over time
Note: As the AI readiness report averages scores over sites, it is not available on Audience or Content dashboards.
Why AI Readiness matters
The AI Readiness score helps you answer:
-
“Can we trust AI to answer questions from our intranet content?”
-
“Where should we focus to make AI answers better?”
When your AI Readiness score is low:
-
AI is more likely to:
-
Miss important content
-
Surface outdated or low‑quality pages
-
Return “I don’t know” more often
-
-
Users may lose trust in AI and revert to manual searching or asking colleagues
When your AI Readiness score is high:
-
AI tools can:
-
Find the right content more reliably
-
Summarise pages more accurately
-
Provide more relevant, complete answers to user questions
-
How to improve your AI Readiness score
You can improve AI Readiness by working on the three components:
Improve Content Readiness
Focus on:
-
Clarifying page titles and headings
-
Removing or merging duplicate and obsolete content
-
Making pages scannable (short paragraphs, headings, bullets)
-
Ensuring key information is explicit rather than buried in attachments
Improve Engagement Readiness
Encourage more people to use your intranet or sites:
-
Promote key sections or new pages
-
Simplify navigation so people can find the right site
-
Align content with real user needs and top tasks
Higher, more representative usage will lift Engagement Readiness.
Improve Search Effectiveness
Reduce failed searches by:
-
Fixing or improving search keywords in key pages
-
Creating dedicated pages for high‑demand topics
-
Ensuring important pages contain the terms people actually search for
-
Cleaning out low‑value or misleading content that clutters results
As more searches succeed, Search Effectiveness, and therefore AI Readiness, improves.
